The Marketing Services Specialist is both a strategic and tactical customer-focused position, tasked with working independently and in concert with the Director of Marketing to develop solutions that help USA Water Polo (USAWP) continuously improve its marketing and sponsorship programs and most importantly, integration of these programs. The role is cross-functional in liaising with all areas of the organization, from events and membership to high performance and national teams to insure the Marketing Department is best supporting organizational needs and simultaneously extracting maximum value for, and compliance with, the needs of our partners.





Sponsorship Activation, Fulfillment and Reporting

·         Develop a thorough understanding of the contents of signed sponsorship contracts and proactively support contract implementation and partner activation

·         Develop relationships with sponsors, insuring an understanding of and exceeding expectations, leading to partnership renewals

·         Track, manage and monitor day-to-day sponsorship activation checklists, including VIK; create sponsor fulfillment reports, keeping track of implementation throughout the year

·         Coordinate with other areas of the organization (e.g. Communication, Events, Membership, etc.) in sponsorship education, activation and promotions

·         Assist in creation of sponsor content and materials

·         Assist with presentations, pitches and proposals as needed

Team Outfitting

·         Manage internal outfitting procedures and processes for High Performance teams, including schedules and checklists, insuring smooth implementation for outfitting partners and High Performance teams

·         Optimize and track all outfitting VIK selections and private label orders

·         Maintain, manage and organize outfitting inventory and distribution to teams in a timely manner

Event Branding

·         Manage signage development and event outfitting, including sponsor-branded elements, working in collaboration with the Events Department

·         Organize sponsor activations, promotions and merchandise awareness

·         Oversee production of printed event programs at various USAWP events

Support Functions of the Marketing Department

·         Implement brand and style guidelines throughout all marketing, event and other branded materials; assist in all materials distribution

·         Participate in the content maintenance of the USAWP website, including overseeing the display and placement of sponsor logos and advertisements

·         Manage the Marketing Department’s intern program on a day-to-day basis, reporting to the Director of Marketing on intern progress

·         Market research, including collection, analysis and summarization of data and trends 

·         Maintain oversight of photo library, including monitoring usage by external parties (sponsors, media, athletes) and internal departments

·         Manage office collateral inventory levels, insuring adequate quantities on hand of corporate stationary, business cards, brochures and other marketing materials

·         Protect organization's value by keeping information confidential

·         Additional responsibilities as needed


·         Bachelor’s degree (or equivalent experience) required, preferably in marketing, communication, corporate sponsorship, events or related field

·         Minimum 3 years of experience in marketing or a related field

·         Organizational and multi-tasking abilities; flexibility and ability to adapt to variety in the work environment

·         Ability to manage details and keep thorough records

·         Must have strong communication skills both in writing and interpersonal/relationship-building skills

·         Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint)

·         Basic experience with Adobe Creative Suite (Photoshop, Illustrator, InDesign)

·         Strong grasp of social media

·         Self-starter able to manage individual task lists and projects without direction and handle ambiguity

·         Experience in account management, event management, promotions, advertising and/or the sports industry desirable

·         Ability to work flexible hours, including nights and weekends

·         Driver’s license and transportation required
